What this is

The company profile stores who your bidding entity is on paper:

  • Registered legal name and address

  • Contact details (phone, fax, email)

  • Trade registry, registration number, and VAT code

It lives inside Team settings, not as a separate page. The section title is Company profile, with the subtitle: "General information regarding the legal entity that is behind this team."

Why it must be done before creating a pursuit

When you create a pursuit, Tendersight immediately begins preparing bid outputs that reference your organization:

The recommended onboarding order on Team overview → Getting started is explicit:

  1. Configure alerts

  2. Invite your team (optional)

  3. Configure team settings ← company profile + legal representative + banking

  4. Import inventory

  5. Start a pursuit

Step 3 exists precisely so step 5 has data to work with.

Important: "Team settings complete" means all three sections have been saved at least once: Company profile, Legal representative, and Banking information. Complete all three before creating a pursuit—not just the company profile alone.

The company profile is the second section in the settings grid (after Team name, before Company logo).

Headquarters display rule: Street, street number, and city are concatenated with commas. Empty parts are omitted. If all three are empty, you see "No headquarters".

Loading state

While fetching profile data, a loading placeholder replaces the field list.

Error state

If loading fails:

  • Message: "Something went wrong"

  • Retry action re-fetches the profile

The cog button and field list are hidden until data loads successfully.


How to edit — two equivalent ways

Both methods open the same side sheet. There is no separate inline edit per field.

Method 1: Click the cog icon

  1. Locate the gear icon at the top-left of the Company profile section header.

  2. Click it.

  3. The Update company profile sheet slides in from the right.

Method 2: Click any field row

  1. Click any row in the field list (legal name, headquarters, phone, fax, email, trade registry, registration number, or VAT code).

  2. The same Update company profile sheet opens.

  3. Keyboard: rows are focusable. Enter or Space also opens the sheet.

You do not edit fields in place on the read view. Every row and the cog icon are entry points to the sheet form.

What happens when you save

1. You save the form from the sheet.

2. On success:

- Sheet closes

- Toast: "Company profile updated"

- Description: "We will now be using the new information for your company."

- Read view refreshes with new values

3. On failure:

- Sheet stays open

- Toast: "Something went wrong"

- Description: "The company's profile couldn't be updated."

Saving is immediate and permanent for future document generation. Already-exported PDFs are not retroactively updated.

Best practices

  • Complete all profile fields your country's tender procedures require—not only legal name.

  • Fill VAT code and trade registry number before first pursuit; they appear on almost every qualification form.

  • After any legal entity change (merger, VAT re-registration), update profile before generating new documents in open pursuits.

  • Use the same legal name as on your trade register; mismatches cause rejection by contracting authorities.

  • Complete legal representative and banking in the same settings visit.


FAQs

Can I create a pursuit with an empty company profile?

You should not. The product workflow requires team settings—including company profile—before starting a pursuit so auto-fill and generated documents have your legal data. The getting-started checklist enforces this order.

Do I edit each field separately on the settings page?

No. Clicking any field row or the cog icon opens one sheet with all fields.

Is fax still required?

Many authority forms still include a fax field. Fill it if your organization has one; leave empty if not applicable.

Does updating profile fix already-generated PDFs?

No. Regenerate documents after updating.

Is company profile the same as a market Company in Analytics?

No. Company profile is your organization. Analytics → Companies shows other bidders in procurement data.
